Setup Scanning to Email via Gmail with App Password after Less Secure Apps is disabled

To set up scanning to email via Gmail on a Sharp copier using an App Password after Gmail disabled "Less Secure Apps," follow these steps to ensure secure scanning with Gmail's 2-factor authentication:

Step 1: Gather Information

  1. Find the IP Address of the Sharp Copier:

  • On the copier's touch panel, tap the Settings button on the home screen.

  • Go to the Status tab, then Network status. Scroll down to find the copier's IPv4 address. Note it down.

Step 2: Create a Gmail Account

  1. Create a New Gmail Account:

  • On a computer, open a web browser and search for "Create a Gmail Account."

  • Click the link and then click Create an Account.

  • Fill in the required information with a unique username and password. This Gmail account is specifically for scanning purposes.

  • Click Next and then enter additional details like birthdate and gender. Click Next.

  • Agree to the terms and click Next.

Step 3: Set Up 2-Factor Authentication

  1. Activate 2-Factor Authentication:

  • On the Gmail home screen, click Count Me In.

  • Click Get Started.

  • Enter the password from Step 2 to verify your identity. Click Next.

  • Enter a mobile phone number for 2-factor authentication. Keep Text Message selected. Click Next.

  • Enter the 6-digit verification code sent to your phone.

  • Click Turn On.

Step 4: Generate an App Password

  1. Create an App Password for the Scanner:

  • Click on the circular letter icon in the top-right corner of Gmail, then click Manage your Google Account.

  • Click the Security tab on the left menu.

  • Find App passwords and click the “>” symbol to generate a new one.

  • Re-enter the Gmail password, then click Next.

  • From the Select App dropdown menu, choose Other, then type Scanner.

  • Click Generate to create an app password.

  • Important: Copy the generated app password to a safe place; you can't recover it once you leave the page.

Step 5: Configure Sharp Copier for Scanning to Email

  1. Log Into the Sharp Copier's Web Interface:

  • Open a new tab in your browser and type the IP address from Step 1.

  • Click the Login button in the top-right corner.

  • Enter the default administrator password (admin). If it's changed, consult your IT group. Click Login.

  1. Set SMTP Configuration:

  • Click System Settings, then Network Settings.

  • Click Services Settings on the left menu and ensure you're on the SMTP tab.

  • Configure the SMTP settings:

  • SMTP Server: smtp.gmail.com

  • Port Number: 587

  • Enable SSL: Yes

  • Enable SMTP Authentication: Yes

  • Username: The Gmail address created in Step 2

  • Password: Paste the app password from Step 4

  1. Submit and Test the Connection:

  • Click Submit to save the settings, then scroll down to click Execute to test the connection.

  • Click OK to confirm and check if the connection test was successful.

Final Step

This completes the setup process for scanning to email via Gmail using the App Password after "Less Secure Apps" is disabled. If the connection test is successful, your Sharp copier is configured to scan to Gmail with 2-factor authentication. If it fails, check the settings and repeat the process, ensuring the App Password and other details are correct.
